I am delighted to announce the appointment of Chris Young to the Finance team in the Ballarat office. Chris is currently a Payroll Officer with St John of God Healthcare – Group Services and will join our Finance team as Payroll Administration Officer in January 2022.

Reminder: Staff Vaccination Status Recording on the PRS
A reminder that all CEB staff are required to record their vaccination status on the Personal Record System (PRS).
As you are aware, the Chief Health Officer’s Directions require a school employer to collect, record and hold vaccination information about all ‘education workers’ who are, or may be, scheduled to attend a school on or after 18 October 2021.
While you have already provided your vaccination status to CEB, it must also be recorded on the CECV PRS by the individual staff member, as outlined in this memo. Please refer to the CECV collection notice regarding the collection of your vaccination status, as required by the Directions.

Relocation to Gillies Street – Getting Ready to Move
Our revamped Ballarat Office is getting closer to becoming a reality. We can look forward to a new beginning in 2022 from this location. There is a great deal of work going on behind the scenes to realise this goal and we understand it is important to keep all CEB staff, regardless of geography, in the loop. Given the busyness of the end of term, this update is provided as a snapshot.
- Reminder: Clean and pack up your desks by Friday 3 December.
- Box what is to go to the new office, scan/destroy/bin what doesn’t need to go.
- Please ensure your name is on each box.
- Do not take things with you to sort out at the new office, now is the opportune time to critically review and declutter.
- Moving may commence from the week of 6 December where possible.
- Where records must be kept to meet retention/legal obligations, those documents can be archived. There is a particular requirement around archiving. Where this is necessary please discuss this with your Team Leader.
- The floor/seating plan is being finalised with Team Leaders by 6 December. We will share this with all staff shortly. This will help us all to have a better sense of the space and how we work.
- In the interest of staff health and safety, it is our intention that professional removalists will conduct the move. Staff should not plan to pack up and take resources or equipment from Lyons Street to the new office themselves.
Timing and Practicalities
- If you can work remotely/away from the office in the week of 13-17 December please do so, as removalists will be in and out and there will be trip hazards with boxes and furniture being moved.
- If you are not taking additional annual leave, please also continue to work remotely in the week of 10-15 January to allow some final works and organisation at the new office.
- Anyone who needs to be onsite during either of those weeks should speak with your Team Leader first, and the Team Leader will liaise with Ash Wiseman to manage numbers onsite for health and safety reasons.
- All staff are welcomed to the new Ballarat Office from the week commencing 17 January 2022. In this week we will commence unpacking of boxes to storage spaces in the open plan office and shared storage areas.
- Working in our new office will provide wonderful opportunities for connecting, partnering, and building strong relationships with others. The improved floor plan promotes flow and ease of interactions. It may feel quite different for many who are used to working in a smaller, separated space. Together we will find new ways of working to maximise the benefits of the new office environment and to reduce the impact of working differently in a free-flowing floor plan.
- Carpark access will be via Gregory Street using the same fob used to access the building. Visitors will be able to press a bell to reception for access. More on this to follow.

Final Call for Retreat Registrations
This is a final reminder that anyone intending to attend retreat in Mount Macedon on 15 and 16 December must register their attendance by COB tonight, Friday 26 November. Links to the Google forms are below:

CEB Staff End of Year Mass and Dinner Update
Bishop Paul has kindly agreed to say Mass for CEB Staff at St Patrick’s Cathedral Ballarat prior to the end of year dinner on Friday 3 December. Mass commences at 5pm so staff are encouraged to finish work earlier to ensure that they can go home and get ready/collect their partners if they are attending, or travel the distance to Ballarat, to attend the Mass. It will be great to be able to gather to celebrate Mass as we have been unable to do so for quite some time.
After Mass we will move to the Ballarat Golf Club to celebrate successfully navigating through another COVID year, to thank our partners, and to farewell staff who are leaving. Pre-dinner drinks will be served from 6pm, with mains, desserts and live music to follow.
Final Call for Dinner RSVPs
If you have not yet responded (or are unsure if you have responded), please complete the registration details for yourself and your partner (if applicable) in the Google form by Monday morning, as final numbers will be confirmed at 9am, Monday 29 November.
Staff Prayer
Staff Prayer is taking place in-person next Monday 29 November at 8.30am in the Diocesan Meeting Room in the Ballarat Office. Staff can also join via this google link.
What a fitting way to commence the Season of Advent by being able to once again meet together.
Reminder: Christmas/New Year CEB Finance Office Closure
A reminder that the CEB Finance Office will close from Friday 17 December, 2021 and re-open on Monday 10 January, 2022.
Any invoices, staff reimbursements and school payments that require payment prior to our closure must be received by close of business Monday 6 December. Please email all authorised invoices, reimbursements and school payments to accounts@dobcel.catholic.edu.au.
Any invoices, reimbursements and school payments received after this date will not be paid until the week of 24 January 2022.

Missing Camera Bag
If anyone knows the whereabouts of the small camera bag which is normally kept in the storage room near Kate Lawry’s desk downstairs at Lyons Street, can they please contact Emma Newman.
